Your Decisions Inbox

The Inbox is where Cleaner OS collects everything that actually needs a decision from you — and nothing else. Open Inbox in your owner navigation and you'll see a short count (for example, "3 decisions") above a list of cards. Each card carries the context you need and the buttons to settle it on the spot. When the list is empty, you'll see "You're all caught up" — that's the goal state, not a problem. If the jobs that need a cleaner can't all be loaded for a moment, the Inbox says so at the top instead, and it won't claim you're caught up until it can see the whole list. Reload to try again.

Every card works the same way: Cleaner OS suggests the next move, and nothing changes until you tap. Your decisions are recorded, including the reason you type when you override a suggestion.

What lands in your Inbox

Six kinds of cards, each marked with a small tag:

Cards leave the list as soon as you act on them. Below the queue, two links take you to the fuller views: Open assign grid and All requests & pauses.

Unassigned visits

Cards tagged Needs cleaner show the client, the date and service, and a suggested cleaner already checked — along with a short reason, such as "This client's usual cleaner", "Nearest cleaner", or "Lightest schedule this week". Tap Assign to accept the suggestion, or change the checkboxes first — you can send more than one cleaner to the same visit, and choosing different people is your override.

If no one on your team can take the work yet, the queue replaces those cards with a single one that names the reason. If nobody is on your roster, it offers Invite a cleaner. If you do have cleaners but none has set a start address, it says so and offers Set start addresses — a cleaner only becomes available for assignment once they add that address themselves, on the Me page of their own app (behind the avatar at the top of Today), because routes and drive times are measured from it. See Invite your team and Availability, time off, and your start address.

Customer requests

When a customer asks to re-book, reschedule, pause, or cancel service, the request appears here with their name, the date or pause window they want, and any note they added. Tap Approve to apply the change to your schedule, or Decline. If the underlying cleaning changed in the meantime, the card tells you the request can't be applied right now instead of guessing.

Overdue follow-ups

When a client's invoices stay unpaid for about a week past their due date, one card per client appears, tagged Overdue. It shows the total overdue, how many invoices are overdue, and how old the oldest one is. You have three choices:

For how invoices themselves work, see Invoices basics.

Visits not marked done

A visit shows up here, tagged Not marked done, when its day has passed and nobody finished it. Either no one tapped Start, or the cleaner started and never tapped Finish. The card names the client, the day and time, the address, the cleaners and the price. It asks what happened:

The card leaves the Inbox as soon as the visit is resolved, including when a cleaner finishes it late or you move it from the schedule. Visits from today are not listed, because a cleaner may still finish them. Neither is an older visit a cleaner started today and is still working on. Visits older than 31 days are not listed either, but they are still on the schedule. The Past, not marked done row on Money covers this month's visits, and each one it counts is waiting here.

AI message drafts

When the AI prepares a reply in one of your conversations, the draft waits here, tagged AI draft, with the full text and the name of the person it's for. Nothing is sent on its own. Tap Send to send it as written, Edit in thread to open the conversation and adjust the wording first, or Discard to drop it. For the full messaging picture, see the Messages hub.
