Workspace settings
Settings is the home for the choices that shape your whole workspace: your business profile and plan, how long each property takes, what you pay your cleaners, your language, and the two AI switches — message auto-translate and AI reply drafts. Open Settings by tapping your avatar — on your phone it's at the top of the Pulse home screen; in a desktop-size window it's in the top bar.
The page is split into two groups, Business and Preferences, with a Sign out button at the bottom.
Business settings
The Business group collects the rows that affect scheduling and money:
- Business profile — shows the business name your workspace runs under.
- Billing — opens Money, where invoices live today. Plan management arrives with billing.
- Business hours — the window your company works in, day by day. Set this first: until at least one day is open, every job counts as unschedulable and lands under Needs your attention, so the day planner has nothing it is allowed to place. A day you leave switched off is a day you're closed. This screen also holds your default travel buffer (padding added between jobs on top of the measured drive time) and your business address — the address is for your own records and is not used for routing.
- Property durations — set how long each property takes to clean, plus an optional per-property travel buffer. A job with no duration can't be scheduled until you set one here, so this screen is worth an early pass — see Recurring series and scheduling.
- Business time zone — the local time zone every schedule time is shown in. Set it before you start scheduling work: changing it later doesn't move any visit's actual moment, but it shifts the wall-clock time existing visits display at. If your exact zone isn't accepted when you pick it, choose the nearest major city in the same zone.
- Pay rates — hourly pay for your cleaners (covered below).
- Earnings & margin — a per-completed-job view of cleaner pay and your margin.
Pay rates and what cleaners see
On Pay rates you set a Company default rate — an hourly rate that applies to every cleaner without an override — and, below it, Per-cleaner overrides for anyone who earns a different rate. Pay is hourly and capped at each job's duration; overtime is unpaid. Each cleaner's row shows their effective rate (or No rate set) and notes when they inherit the company default.
Cleaners see their own side of this in the cleaner app: their hourly rate and the pay they have accrued on completed jobs. They never see what you charge the client — client pricing stays between you and your customer.
Language and auto-translate
- Language — pick the language you want to read messages in. As the row itself notes, the cabinet screens stay in English for now — your pick sets the language incoming messages are translated into for you. Ten languages are available, including Spanish, Ukrainian, and Polish.
- Auto-translate messages — when this is on, messages are machine-translated for your team and clients, so each person reads in their own language, and any translated message can be flipped between Show original and Show translation. When you turn it off, new translations stop for everyone: conversations show the banner "Auto-translate is off — everyone sees originals," and new messages display exactly as they were written. Messages translated earlier keep their translation — use Show original on those to read the original text. The setting notes that translation uses your AI budget.
Each client conversation also has its own Translates to language, which you can change from inside the thread — see Messages hub.
AI reply drafts
The AI reply drafts switch controls whether the AI prepares reply drafts when messages come in. The setting says it plainly: drafts are for you to approve — nothing sends without you.
With drafts on, a reply marked AI draft — awaiting your review appears in the conversation with Send, Edit, and Discard buttons. Drafts also show up in your Inbox, where you can review the full text and send in one tap. A draft never reaches a client or team member until you approve it.
Turning the switch off stops new drafts from being prepared — you write replies yourself. You can turn it back on at any time.
Your account
At the top of Settings is an Account card: Name (how you appear across your account), your sign-in Email — change it any time and we'll email a confirmation link to both your current and new address to keep it secure, an optional Phone number, and Password — set or change it any time, minimum 12 characters. This is your personal login, separate from your business details.
Two-factor authentication (2FA)
The Security row (near the top of Settings) opens your two-factor authentication controls. 2FA adds a second step to your sign-in: after your password, you enter a 6-digit code from an authenticator app on your phone (Google Authenticator, 1Password, Authy, and similar all work). With 2FA on, signing in to Cleaner OS takes both your password and a fresh code from your phone.
To turn it on, tap Turn on, scan the QR code with your authenticator app (or type the setup key manually), and enter the 6-digit code the app shows. From then on, every sign-in asks for a fresh code after your password. To turn it off, come back to the same screen and tap Turn off — you'll sign in with just your password again.
If you lose access to your authenticator app, use the Sign out link on the code screen and contact us — after we verify it's really you, we remove the lost authenticator from your account so you can sign in with your password and set 2FA up again. There are no self-serve backup codes yet, so this identity check with our team is deliberately the only way back in. 2FA is optional and personal to your login — it doesn't change how your cleaners or clients sign in.
Notifications, privacy, and sign out
The Notifications row has a switch: keep it on to get an email when a client or cleaner sends you a message, or turn it off to mute those emails — it's your own setting and takes effect right away. Just below, Push on this device lets you get a system notification instead of an email when someone messages you — turn it on per device, and it replaces the email on that device while the notification is on. Push works when the app is installed (on an iPhone, add it to your Home Screen first); until then the notification arrives by email as usual. The Privacy & data row is still labeled soon — that control isn't available yet. The Sign out button sits at the bottom of the Settings page.
Who at Cleaner OS can see your data
Nobody at Cleaner OS has standing access to your workspace. When you ask for help and a team member needs to look into your account, they open a read-only support session — scoped to your business alone, with a reason they type in, and a countdown that ends the access automatically (15, 30, or 60 minutes). They can read your data to help; they can't change anything.
While a session is open, a banner runs across the top of every screen: "A Cleaner OS team member is viewing your data (read-only) to help with: …" — naming the reason and the time the access ends. Every session's open and close is written to your account's permanent audit trail, so there's always a record.
If you ever see that banner and weren't expecting it, use the "Not expected? Contact us" link in it to reach us right away.
