Recurring series and scheduling
Most cleaning clients aren't one-time jobs — they're every Tuesday, or every other Friday. In Cleaner OS you set up the pattern once, and the individual visits are placed on your calendar for you.
There are two places to do it, and which one you want depends on whether the client already exists. For someone new, start from Schedule. For someone already on your books, start from their own page — see Schedule for a client you already have. Using Schedule for an existing client creates a second, separate client record, which cannot be merged afterwards.
Create a recurring schedule
At the top of Schedule is a box titled Add a client or job — just describe it. Type the client the way you'd say it out loud — for example, "2 bed 2 bath in Brooklyn, biweekly on Tuesdays, has a cat" — and tap Parse. The AI reads your description and fills out a review form: client, city, bedrooms, bathrooms, frequency, and a suggested price with a short note on its reasoning. Nothing is saved yet — you're looking at a proposal you can edit.
The Frequency field offers One-off, Weekly, Biweekly, and Monthly. Pick any recurring option and a row of day-of-week buttons appears so you can choose which days visits land on, plus a Time and a First visit date (pre-filled with 9:00 AM starting today). You can change all of it later from the client's page — see Change or end a recurring plan. Pick One-off and a small calendar appears instead: choose the day and time of the visit — Create stays off until you do. If your sentence already said when ("tomorrow at 2pm"), it's pre-filled. When it looks right, tap Create — you'll see "Created — see the schedule below," and the visits appear underneath.
Bringing clients in through an import works the same way, with one extra frequency — Every N weeks — and one check of its own: in import review, a recurring client needs at least one day of the week picked before you approve the row.
Schedule for a client you already have
Open the client from the People tab and find their property. Each property carries a Schedule a cleaning button, and it books against that client — so their visits, invoices, and history all stay on one record.
The choices are the same as on Schedule: One-off with a calendar, or Weekly / Biweekly / Monthly with day-of-week buttons, a Time, and a First visit date. Two things worth knowing:
- If you pick a first visit of today at a time that has already gone by, you'll be asked to choose a later time or a later date — otherwise the first visit would be placed in the past.
- The Duration you set here applies to this booking. If the property has its own duration set in Settings → Property durations, that one governs cleaner pay and the day-plan clock instead, and the form tells you so.
If you start from Schedule and type a name that matches someone you already have, you'll see "This client may already exist" with a link to them before anything is created. Opening that link and scheduling from their page is the right move — see Clients and properties.
Three months of visits, placed for you
You never add a series' visits by hand — when you create the series, Cleaner OS places the next three months of visits on your calendar for you.
Schedule gives you two ways to look at them. List view is the working view: the coming week grouped by day (Today, Tomorrow, then dates), each visit showing its time, service, and status, with a cleaner picker and action buttons right on the row. Calendar view is the month overview — dots mark each day's visits, the month header counts jobs and flags how many are unassigned (or says "all assigned"), and tapping a day lists its visits with the same crew picker, reschedule, skip, and cancel buttons — handy for a visit further out than the coming week, which is the only place you can assign one. A visit that's running late shows an At risk tag in the list — see Day plan and at-risk.
Reschedule, skip, or cancel one visit
Every visit that hasn't started yet carries three buttons:
- Reschedule opens a calendar with 15-minute time slots (dates before today are off); confirm with Move visit.
- Skip asks "Skip this visit? It won't run this time." The visit stays on your calendar marked skipped, and the rest of the series keeps its rhythm.
- Cancel asks "Cancel this job?" and closes out that visit.
Changes are made visit by visit — moving one Tuesday doesn't move the others, and skipping next week doesn't touch the week after.
Edit on the same row changes the price, minutes, and service for that one visit. It applies to that visit only: the visit stops following its recurring plan, so a later change to the plan won't overwrite what you typed here. To change the price for every future visit, edit the plan instead.
When a client asks for a change from their portal — a reschedule, a re-book, or a pause — the request comes to you for approval rather than changing the schedule on its own. See Your Decisions Inbox.
Change or end a recurring plan
Open the client from the People tab. Under each property, a Recurring plan card shows the pattern in plain words — "Every Mon, Wed at 9:00 AM" — with the price, minutes, service, and default cleaner. Tap Edit plan to change any of it.
What happens depends on what you change:
- Price, minutes, service, or default cleaner apply straight away to every upcoming visit on the plan. Visits you already edited individually keep what you set; completed and past visits are never touched.
- Changing the default cleaner reassigns every upcoming visit on the plan, and both cleaners are told — the one losing the run and the one gaining it. They each get one message about the plan, not one per visit. Anyone else already on those visits stays on them: swapping the plan's cleaner replaces that one person, it does not disband a crew you built.
- If the property has a standing crew (Settings → Property durations), the plan's default cleaner no longer decides who goes — the standing crew does, for every visit generated from here on. Changing the default cleaner on such a plan is refused with a note pointing you at the crew, because the change would be undone the next time visits are generated.
- Day, time, or frequency is a bigger change: the plan is replaced from a date you choose. Upcoming visits on or after that date are removed and re-created on the new rhythm, and the form asks for the date before it lets you save. Visits you edited individually are kept.
End this plan stops it for good: no new visits are created and upcoming ones are canceled — they stay on the record as canceled rather than disappearing, so your history and any invoices stay intact. The cleaner who held the plan is told. Two things to know: a visit you rescheduled or re-priced on its own is not canceled (it stopped following the plan when you edited it, so check it separately), and there's no undo — if the client comes back, create a new plan from their property.
Repricing a plan is between you and the client. Your cleaners are never told about a price change.
Times are your business's time zone
Every time on the schedule is your company's local time. The Today/Tomorrow grouping, the month calendar, and the reschedule picker all use your business time zone — not whatever time zone a device happens to be set to. You and your team see the same wall-clock time for the same visit, wherever you're looking from.
Your business time zone is set in Workspace settings — pick it before you start scheduling work. Changing it later doesn't move any visit's actual moment, but it shifts the wall-clock time every existing visit displays at.
