Import clients from a photo
If your client list lives on paper — a notebook, a printed sheet, or a screenshot from the software you used before — you don't have to retype it. Photograph it, and the AI reads the photo and proposes client rows for you to review. Nothing is created until you approve it.
Open Import your clients from the Import button at the top of your Clients page (an empty week on your Schedule links to it too). The page shows three steps: Upload, Review, Live. (If your list exports as a spreadsheet instead, see Import clients from a CSV — both paths end in the same review screen.)
What you can photograph
The photo section is headed Photograph a paper list, and that is where most owners start: snap your client sheet with your phone — a few pages is fine. A screenshot of a client table from your old software works the same way.
A few practical notes:
- You can attach up to 8 photos in one import. If you select more, the importer keeps the first 8 and tells you so.
- Common image formats work, including iPhone photos (HEIC) — they are converted automatically.
- Photos are resized and re-encoded before upload, which also strips any location data embedded by your camera.
- Clear, well-lit, straight-on shots read best, especially for dense or handwritten pages.
Your upload is stored privately and automatically deleted 30 days after import — the page says so right under the upload controls.
Upload and let the AI read
Choose your photos under Photo of your list, then press Upload & read. You will see Uploading… while the photos transfer, then Reading with AI… while the AI extracts client rows. When it finishes, you land on the Review import screen.
Review what the AI found
The review screen says it plainly: the AI proposed these rows from your file — fix anything off, approve what is right, skip what is not. Nothing is live until you commit.
Each row shows Client, City, Price, and Frequency, with small confidence dots beside fields the AI was less sure about. Every field is editable before you approve. Watch for:
- Recurring clients need days. For any frequency other than one-off, a Days row of weekday buttons appears. If none is selected you will see a warning, and approving is blocked until you pick at least one day — otherwise that client would never be scheduled.
- Duplicates are flagged. If a row looks like a client you already have, you will see "Looks like existing client…" with an option to link to them instead of creating a new record. Duplicate rows within the same file are flagged too.
- Balance owed (optional). If your list showed money owed, you can tick Confirm this balance — create an invoice for it and set a due date; a past due date flags it overdue in your Inbox. Unconfirmed balances are not saved.
Use Approve on rows that look right and Skip on ones you don't want (there is an Unskip if you change your mind).
Commit and see your schedule
When you are done reviewing, press Commit — the button shows how many approved rows it will import. You get a summary of how many clients were imported, skipped, or still need review. When everything is in, the page says Your schedule is ready with a See the schedule link: recurring clients now appear as cleanings in your week. From there you can tidy details on their pages — see Clients and properties and Recurring series and scheduling.
